Team Management

Learn how to invite and manage team members in your workspace.

Overview

Team management allows you to:

  • Invite colleagues to collaborate
  • Assign roles and permissions
  • Manage member access
  • Remove team members when needed

Accessing Team Settings

  1. Go to Settings in the sidebar
  2. Click Organisation
  3. Select Team

Viewing Team Members

The team page shows:

  • Member name and email
  • Profile picture (if set)
  • Assigned role
  • Invitation status (active, pending)
  • Date joined

Inviting Team Members

Sending an Invitation

  1. Click Invite Member or the + button
  2. Enter the person's email address
  3. Select a role for them
  4. Click Send Invitation

The person will receive an email with a link to join.

Invitation Process

When someone receives an invitation:

  1. They click the link in their email
  2. If they don't have an account, they create one
  3. If they have an account, they sign in
  4. They're added to your workspace with the assigned role

Pending Invitations

View and manage pending invitations:

  • See who hasn't accepted yet
  • Resend invitations if needed
  • Cancel invitations

To resend an invitation:

  1. Find the pending member
  2. Click Resend Invitation

To cancel an invitation:

  1. Find the pending member
  2. Click Cancel Invitation

Managing Roles

Changing a Member's Role

To change someone's role:

  1. Find the team member
  2. Click on their current role
  3. Select a new role from the dropdown
  4. Changes apply immediately

Available Roles

Common roles include:

  • Admin: Full access to all features and settings
  • Manager: Can manage content and team members
  • Editor: Can create and edit content
  • Viewer: Can view content but not edit

Exact roles depend on your workspace configuration. See Roles & Permissions for details.

Removing Team Members

To remove someone from your workspace:

  1. Find the team member
  2. Click the menu (three dots) next to their name
  3. Select Remove from Workspace
  4. Confirm the removal

Important: Removing a member:

  • Revokes their access immediately
  • Does not delete content they created
  • Does not affect their OmniSocials account

Client Access

Inviting Clients

Invite clients with limited access to view and approve content:

  1. Click Invite Client
  2. Enter their email
  3. They'll receive a special client invitation

Client Permissions

Clients typically have:

  • View access to content awaiting approval
  • Ability to approve or request changes
  • Limited or no access to analytics
  • No access to workspace settings

Bulk Operations

Coming soon: Invite multiple team members at once, export member lists, and bulk role changes.

Activity and Access

Member Activity

Track team member activity (coming soon):

  • Last login time
  • Posts created
  • Approvals made

Access Logs

View who accessed what (available on higher plans):

  • Login history
  • Actions performed
  • IP addresses

Best Practices

  1. Least privilege: Give people only the permissions they need
  2. Regular reviews: Periodically audit who has access
  3. Quick offboarding: Remove access promptly when people leave
  4. Role documentation: Make sure everyone understands their role
  5. Use descriptive roles: Customize role names to match your organization

Troubleshooting

Invitation Not Received

If someone didn't get their invitation:

  • Check their spam/junk folder
  • Verify the email address is correct
  • Resend the invitation
  • Try a different email address

Can't Change Roles

If you can't modify roles:

  • Verify you have admin permissions
  • Check if the person is the workspace owner
  • Contact your workspace administrator

Member Can't Access Features

If a member can't use certain features:

  • Check their role permissions
  • Verify the feature is included in your plan
  • Review workspace-level settings
